Ronald McDonald House Charities® Hawaii (RMHC® Hawaii) is a 501(c)(3) organization that has been providing a home-away-from-home for seriously ill children and their families for 40 years, providing programs and partnerships aimed at improving the lives of children in Hawaii and the Pacific region. Over the years, RMHC Hawaii has supported more than 13,000 families, providing over 130,000 room nights at Ronald McDonald Houses in Hawaii, and assisting more than 155,000 people through their family programs and services. The House strives to foster emotional, spiritual, and compassionate support to all who live within, keeping families close when they need it the most.
 

Traditionally, RMHC Hawaii has raised funds through annual fund drives, corporate partnerships, grants, online donations via their website at www.ronaldhousehawaii.org, and through two major annual events; the Share a Night Benefit Gala & Auction each November, and the RMHC- Hawaii Golf Classic each July.

The Challenge

During the pandemic, the organization faced the challenge of expanding their year-round fundraising efforts. To address this, Candace Asam-Lopez, Director of Development for RMHC-Hawaii initiated a new virtual event, called the 5K Red Shoe FunRaiser event, to take place in March 2021, where participants could walk, run, roll…hike, bike, or swim anywhere, anytime to raise money for a good cause – helping families with seriously ill or injured children who stay at Ronald House Hawaii while getting medical care.
 

The organization wanted to do team fundraising for this event, and reached out to Arreva, since they were a longtime, satisfied client using Arreva’s legacy desktop software, Exceed! Premier for donor relationship management, guest management, and volunteer management. However, Arreva had not yet launched their Team Fundraising Application, so they chose to initially do team fundraising using software from another vendor.
 

RMHC did the Virtual 5K Red Shoe event during March/April of 2021 and 2022 using Classy but encountered key challenges in using a separate solution for Team Fundraising, including double data entry, lack of seamless integration with their database, and difficulties in analysis and reporting. According to Candace, “We were spending a lot of time and effort with double entry of our data, since the solution did not seamlessly flow transactions and data into our database. Having an entirely separate system for team fundraising also presented challenges
 

when it came to analysis reporting and additional cost. It was frustrating not to have everything easily integrated through a single solution and database, but at the time we really had no

The Solution

When Candace discovered that Arreva had launched a robust, fully integrated Team Fundraising Application in ExceedFurther, Arreva’s All-in-One, Digital Fundraising, Donor Relationship Management, Healthcare Hospitality, and Auction Software, and learned about the robust application, she was thrilled to find a solution to their challenges.
 

According to Candace, “We had already made the decision to move to ExceedFurther, as a cloud-based, all-in-one, fully integrated solution to streamline all our digital fundraising, donor relationship management, healthcare hospitality initiatives, and volunteer management through a single partner and solution that seamlessly, and automatically flowed all transaction data into a single, unified database.
 

The introduction of the team fundraising application, was icing on the cake, and we jumped at the chance to use ExceedFurther Team Fundraising for our 2023 5K Red Shoe Run which was scheduled for March.”

Despite being on the right track with the solution, RMHC Hawaii encountered a new, unexpected internal challenge, as the person at the organization who was charged with running the team fundraising event left the organization. Thankfully, however, says Asam-Lopez, “We were quickly reminded that we had made the right choice in working with the Arreva team. I’m not the most technical person, but they stepped right in to help us tremendously. They even set up a separate, temporary database for us to use as we were transitioning to ExceedFurther be able to still run our event as scheduled (and then helped us to take all the data and put it into our ExceedFurther database). They were truly right there with us from beginning to end, to seamlessly set up the team fundraising campaign in ExceedFurther, allowing anyone to easily create or join a team, and/or give. It was so simple to use and personalize, that we quickly moved from what we considered a crisis to an amazing experience, as we easily made full use of the robust features, including the participant center, team captain notifications, gift transfers, tracking, leaderboards, and more.”

The Outcome

“We were quickly reminded that we had made the right choice in working with the Arreva team…. The Ronald McDonald House Charities of Hawaii’s Virtual Red Shoe 5K event was a great success. Despite staff turnovers, they smoothly managed to bring together 27 teams and 111 participants, raising over $20,000, matching the previous year’s results, and poising the organization for even greater long-term success for the annual event through enhanced capabilities, and efficiencies.
